Location: United States (Fully Remote)
Compensation: $65,000–$75,000 (commensurate with experience)

About the Role
The HR Operations & Systems Manager is the system owner of our HR technology infrastructure, with primary responsibility for Paycom administration, payroll integrity, workforce data governance, and cross-system operational accuracy.
This role is not simply a payroll processor. It is a systems-driven operator responsible for ensuring clean data, accurate payroll, compliant multi-state configuration, and seamless workforce processes across a seasonal and geographically distributed team.
You will partner closely with HR, Finance, and Operations to ensure our HR systems function as a reliable control environment and operational backbone for the organization.
What You Will Own
1. HRIS System Ownership (Paycom)
- Serve as primary system administrator and owner of Paycom across all modules.
- Maintain and continuously improve data accuracy, system configuration, and compliance rules.
- Establish and enforce HR data governance standards.
- Conduct regular system integrity audits and resolve discrepancies proactively.
- Lead configuration updates, new module optimization, and process automation initiatives.
2. Scheduling & Cross-System Integration
- Manage Paycom Scheduling module configuration and integrity.
- Ensure accurate integration between Salesforce and Paycom.
- Validate labor allocations, qualifications, availability data, and compliance rules.
- Identify and resolve integration gaps that create operational risk or inefficiency.
3. Workforce Data & Reporting
- Develop and distribute standardized reports on:
- Time and variance
- Labor allocations
- Compliance trends
- Payroll accuracy metrics
- Support leadership, audit, insurance, and Board-level reporting as needed.
- Build scalable reporting frameworks that reduce manual work.
4. Payroll Accuracy & Controls
- Oversee and process corporate payroll accurately and on time.
- Provide structured support during peak seasonal instructor payroll cycles.
- Ensure proper multi-state tax configuration and compliance.
- Implement and monitor payroll internal controls and documentation standards.
- Partner with Finance to support audit requests and reporting.
5. Onboarding, Benefits & Compliance Support
- Oversee system workflows for onboarding and offboarding.
- Support benefits administration, leave tracking, and open enrollment processes.
- Assist with workers’ compensation administration and insurance documentation.
- Ensure compliance with federal, state, and local employment regulations across all operating states.
6. Training & Change Management
- Train managers and HR team members on Paycom modules and best practices.
- Support system adoption during process improvements and updates.
- Document procedures and maintain standardized operating guides.
What Success Looks Like
Within 6–12 months:
- Paycom operates as a clean, reliable control system.
- Scheduling integration errors are reduced or eliminated.
- HR data integrity improves measurably.
- Leadership receives timely, accurate workforce reporting.
- Multi-state payroll runs with minimal corrections.
- HR and Finance spend less time fixing errors and more time planning.
Qualifications
- 2-4 years of HR operations, payroll, or HRIS management experience.
- Demonstrated ownership of an HRIS system (Paycom strongly preferred).
- Experience managing multi-state payroll tax configurations.
- Experience supporting audits or compliance documentation.
- Strong working knowledge of Salesforce or similar systems.
- Advanced Excel proficiency (pivot tables, data validation, error detection).
- Experience with seasonal, hourly, or distributed workforces preferred.
- Strong process documentation and systems-thinking mindset.
- Bachelor’s degree preferred.
