We are a growing organization and currently looking for a passionate and motivated Logistics Billing Associate to join our winning team.

Employment Type: Full-Time, Contract
Shift: Day shift, Hybrid
Office/Facility: Calgary

POSITION SUMMARY
The Logistics Billing Associate plays a key role on the Central Billing team in customer account setup, data gathering, data entering, validating charge details, responding to customer inquiries, and liaising with facility operations teams through effective communication to provide exceptional service to customers and to ensure the customers are billed accurately and on a timely basis.

KEY DUTIES AND RESPONSIBILITIES

  • Participates actively in promoting a culture where Health & Safety is the #1 priority.
  • Responds to all customer inquiries via phone and/or e-mail in a timely and professional manner providing all customers, whether internal or external, with a high level of service with the goal of continuously improving the customer experience.
  • Processes and inputs new and re-activated customer account set-ups, communicates details with finance, warehousing solutions and business development teams and files documents.
  • Inputs and maintains customer master, item, consignee, carrier, charge profile and automated revenue charge prompt set-up details.
  • Maintains customer charge profiles under the direction of business development and/or within the scope of the rating authorization policy document.
  • Performs entry and audit of annual general rate increase and contracted increases.
  • Processes and inputs all customer inbound and/or outbound orders and renewal charges and audits entered charges for validation and accuracy.
  • Utilizes invoice accrual report on an as needed basis to validate invoice accuracy and identify any invoice corrections prior to invoice completion.
  • Anticipates and prevents delays or other challenges that can adversely affect the customer. Keeps customers informed about the status of pending actions and inquiries about customer satisfaction.
  • Communicates regularly with warehousing solutions team to share information.
  • Ensures proper invoicing of accounts and delivery of invoices to customers based on a defined schedule.
  • Identifies, investigates and processes manual credit and/or debits for invoice corrections.
  • Gathers data and information to assist in the preparation of reports, as required.
  • Assists in the execution of continuous improvement projects.
  • Operates within the Code of Business Conduct, company policies and procedures, and all statutes and legislation governing the workplace.
  • Participates in other initiatives, projects and duties as assigned.

MINIMUM REQUIREMENTS (KNOWLEDGE, SKILLS, ABILITIES)

  • High School diploma or GED
  • Thorough knowledge of shipping and transportation operations and familiarity with import and export processes is an asset
  • Experience with transportation management software
  • Proficient computer skills, including Microsoft Office Suite
  • Excellent verbal and written communication skills with the ability to interact with internal and external customers
  • Excellent organizational skills, including the ability to multi-task and prioritize workload
  • Excellent problem-solving skills and attention to detail
