Overview
Infillion is seeking a Director for the Office of the Executive Chair to serve as a force multiplier for the CEO. This individual will provide support across the CEO’s email, calendar, meetings, and calls while driving key business initiatives, ensuring alignment across departments, and optimizing executive workflows. The ideal candidate is an experienced operator in the advertising industry with a strong background as a strategic executive assistant, chief of staff, executive advisor, or manager of business operations.
Location
- Location independent position
- Preference given to candidates who can live in or commute to New York or San Juan, PR.
Compensation
- Base Salary: $80,000 to $140,000
- Bonus: Up to 25% based on results and performance
- Equity: Very generous stock option package
Role Purpose & Charter
As the Director for the Office of the Executive Chair, you will serve as the Executive Chairman’s right hand, ensuring that the executive office operates efficiently and effectively. This role requires a unique mix of strategic thinking, operational execution, and the ability to handle high levels of ambiguity. This role will help manage internal and external communications, oversee cross-functional projects, and act as a trusted advisor to the CEO.
Responsibilities
Executive Support & Operational Efficiency
- Manage the CEO’s inbox, ensuring critical communications receive timely responses
- Oversee the CEO’s calendar, prioritizing meetings and engagements for maximum impact
- Prepare briefing materials and ensure the CEO is well-informed before key meetings
- Sit in on executive meetings, capture action items, and ensure follow-through
Strategic Leadership & Business Operations
- Serve as a liaison between the CEO and senior leadership to ensure alignment on priorities
- Facilitate decision-making by gathering and synthesizing relevant information
- Lead special projects and drive key initiatives that require cross-functional collaboration
- Monitor/report progress on company goals, ensuring execution of strategic priorities
Communication & Relationship Management
- Act as a representative of the CEO in meetings and external interactions when necessary
- Craft internal and external communications on behalf of the CEO
- Build and maintain strong relationships with key stakeholders, partners, and industry leaders
Process Improvement & Organizational Alignment
- Identify inefficiencies in executive workflows and implement solutions to enhance productivity
- Oversee key operational processes to ensure smooth execution of high-impact initiatives
- Drive continuous improvement in internal communication and decision-making processes
30-60-90 Day Plan
First 30 Days
- Gain a deep understanding of the CEO’s priorities, workflows, and leadership style
- Take ownership of email and calendar management, streamlining scheduling processes
- Establish strong relationships with the executive team and key stakeholders
- Audit and improve executive meeting structures and cadence
Days 31-60
- Take the lead on strategic coordination of high-priority projects
- Implement processes to improve executive team efficiency and decision-making
- Proactively identify gaps and propose solutions for improved operational effectiveness
- Begin owning select internal and external communications on behalf of the CEO
Days 61-90
- Fully embed within executive operations, serving as a seamless extension of the CEO
- Drive one major strategic initiative to successful delivery of business value
- Formalize processes for ongoing tracking of CEO and company-level priorities
- Evaluate and refine systems for managing CEO’s time and effectiveness
Qualifications
- 5-10 years of experience in the advertising industry
- Proven experience managing executive operations, including email, calendar, and meetings
- Deep understanding of adtech, media, or marketing industries
- Bachelor’s degree in Business, Communications, or a related field (MBA a plus)
- Strong organizational and project management skills with an ability to execute at a high level
- Excellent written and verbal communication skills
- High emotional intelligence and ability to navigate complex executive dynamics
