For our European IT organization, we are seeking a dynamic and concise IT Financial and Administrative Coordinator to join our team and support our growing organization in organizing and processing the administrative tasks within the IT organization. While the primary base is in Rotterdam, given our European operational scope, this role operates within a hybrid working environment.

This position is responsible for performing various secretarial, financial and organizational tasks. It involves the processing and tracking the European IT spend, the financial administration of IT projects, purchase requests and purchases orders, and he administrative activities required for the management of vendor contracts and licenses.

The tasks also include the gathering, administration and follow-up on IT control reports, as well as managing and reporting on the administration of hours, planning and project sourcing.

Next to this, the position supports in the process- and document flows regarding project- and change- requests, and the preparation of the IT reports for regional and global management.

As an IT Financial and Administrative Coordinator, you are part of the European IT RTO team in Europe. You are reporting to the VP IT Europe and you will work closely together with the global IT financial managers, the European financial team and the European IT directors. The main responsibilities are:

  • Create visibility in current IT Spending, IT contracts, end-dates/renewal dates, etc.

  • Consolidation of local European suppliers and service providers towards regional and global contracts and vendor management

  • Realize reduction of costs by phasing out, replacing and cancelling contracts, services and licenses.

  • Ensure IT spending is done on the proper cost-centers, purchase orders or projects

  • Set-up IT budget vs actual spending overview (YTD) for IT, including financials on stock management.

  • Set-up intercompany invoicing for site costs (ISP, mobile phones, printers, etc.) or project costs which needs to be surcharged.

  • Creation of the IT purchase requisitions, including facilitating approvals and issuance to vendors

  • Interfacing and coordinating with Finance to confirm tracking and forecasts for projects and purchase orders

  • Tracking the European IT spend, and delivering the reports on costs, investments, amortization and budget tracking

  • Compiling European IT budget submission including the sub-regions’ local IT budget

  • Support in the development, administration, and enforcement of IT administrative processes, such as financial tracking, approvals, spending, and IT accounting guidelines

  • Managing, administrating and reporting on the IT controls, including the procedures and activities related to audits conducted within the IT domain

Job Requirements

  • Strong organizational abilities, including managing documentation, handling administrative tasks, and supporting IT projects

  • Ability to collaborate with various teams, communicate effectively with finance and IT departments, and convey financial information clearly

  • Understanding of compliance and auditing processes within the IT sphere

  • Capability to address challenges related to financial or administrative tasks and propose effective solutions

  • Good communication skills in Dutch and English

  • Background in finance, accounting, or business administration

  • Bachelor’s degree, or 2-5 years of relevant working experience
