The Purchasing Manager is essential for ensuring the efficient operation of the purchasing department. This role involves overseeing team member schedules, managing inventory, and training buyers. The ideal candidate will effectively balance inventory levels with budget goals, resolve product and vendor issues, and coordinate with various departments to maintain smooth operations.

Essential Duties and Responsibilities:

  • Staff Management: Oversee team member schedules and manage staffing needs.
  • Inventory and Budget Management: Monitor inventory turnover and working capital to meet budget goals, ensuring smooth supply chain operations while optimizing cash flow.
  • Training and Support: Assist and train buyers across all functional areas.
  • Product and Process Oversight: Identify and prevent product dating and shrink issues. Ensure buyers adhere to vendor lead times and internal purchase order (PO) processes.
  • Financial Accuracy: Verify the accuracy of financial and landed product costs.
  • Inventory Adjustments: Plan and execute inventory adjustments in response to customer onboarding, seasonal shifts, sales promotions, or menu changes.
  • Project Supervision: Manage special projects as directed by the Director of Purchasing.
  • Forecasting and Demand Management: Maintain accurate sales forecasts, demand elements, and master data within forecasting and purchasing software.
  • Service and Cost Management: Manage inventory levels to avoid disruptions, reduce shrinkage, and enhance cash flow. Ensure accuracy in PO pricing, dates, and quantities, and resolve PO/invoice disputes.
  • Vendor Relations: Request authorizations for special vendor billings and assist in resolving billing disputes.
  • Reporting and Issue Resolution: Review reports for potential out-of-stock situations and support buyers in addressing service issues.
  • Customer Support: Assist sales and customers with product-related inquiries.
  • Logistics Optimization: Ensure POs are structured to maximize logistics efficiency, including delivery dates and quantities.
  • Interdepartmental Communication: Build strong relationships with accounts payable, merchandising, operations, sales, and logistics teams.
  • Managerial Responsibilities: Manage department personnel, including hiring, training, performance appraisals, and addressing employee concerns.
  • Special Projects: Complete additional projects and duties as assigned.

Qualifications:

  • Education and Experience: Bachelor’s degree in Business, Logistics, or a related field, with at least three years of relevant experience. Equivalent combinations of education and experience will be considered.
  • Skills:
  • Manage Buyers and Purchasing Assistants.
  • Proficiency in Excel and other MS Office applications (Word, Outlook).
  • Excellent communication, interpersonal, and customer service skills.
  • Strong analytical, organizational, and negotiation skills.
  • Ability to work under tight deadlines and adapt to change positively.
  • Basic understanding of sales, buying, and supply chain activities

Work Environment / Physical Demands:

  • Regularly required to sit; frequently required to walk, use hands, talk, hear, stand, and reach with arms. Must occasionally lift up to 10 pounds. Requires close vision. The work environment is usually moderate in noise level.
