Job Description:

We are looking for an Executive Administrative Assistant to perform a variety of administrative tasks and support our company's Executive Leadership Team. The Executive Administrative Assistant’s responsibilities include but are not limited to managing calendars, working on pitch decks, and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

Essential Job Functions:

  • Supporting the Executive Leadership Team with administrative assistance
  • Managing the executive’s calendar, including making appointments, travel arrangements, and prioritizing the most sensitive matters.
  • Organizing internal and external meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf
  • Maintaining comprehensive and accurate records
  • Performing minor accounting duties
  • Answering phone calls and emails in a polite and professional manner
  • Support office management and facilities for our two locations in Richmond.
  • Providing remote support to our locations in Holt, MI and Las Vegas, NV on office management and company event activities
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Supporting our commercial team with trade show and customer meeting arrangements including travel, booking different venues, organizing events, among others
  • Manage corporate travel and purchasing accounts
  • Aid in the organization of training events and workshops

Experience and Skills:

  • 4-6 years of experience supporting an executive team.
  • Time management and the ability to meet deadlines
  • Excellent verbal and written communication skills
  • Strong organizational skills and the ability to multitask
  • Proficient in Office 365 products and preparing information and data for CEO and Executive Leadership Team
  • Interpersonal skills
  • Problem-solving and decision making
  • Proactivity and self-direction
  • Must be able to maintain confidentiality and trust when handling sensitive matters.

Education:

  • Bachelor’s degree in a related discipline, or similar professional experience preferred.
