The Order Management Analyst is responsible for overseeing the order creation process, ensuring a seamless and efficient experience for customers and accuracy of invoicing and financial statements. This role requires strong attention to detail, effective communication, and the ability to work collaboratively with various internal teams. The analyst's ultimate goal is to enhance customer satisfaction, order accuracy, and drive process improvements in the order management system.
Our ideal candidate has:
Bachelor's Degree in Business Administration, Operations Management, or a related field.
2+ years' experience in order management, order processing, operations, customer service, or a similar role is preferred.
A self-starter mindset with strong attention to detail, solid communication skills, and a customer service approach to your work.
Nice to have:
Experience with a custom Order Management System (OMS).
Experience with Salesforce and NetSuite (or another major ERP).
Experience in the Logistics industry is a huge plus.
What you’ll be doing:
Accurately enter customer orders into the company's order management system, ensuring that all details, such as product selection, quantities, prices, and shipping information, are correct.
Verify and maintain customer information, including contact details, billing addresses, any special requirements or instructions, and order history.
Coordinate with sales, customer service, and logistics teams to clarify order details, obtain missing information, or resolve discrepancies.
Collaborate closely with the Latin American (LATAM) Sales and Account Management teams to manage orders and invoices for all LATAM customers
Serve as the internal subject-matter expert on invoicing requirements and tax documentation specific to LATAM customers
Provide translation assistance for contracts and documents across internal departments as needed
Communicate proactively with customers to confirm order details or provide updates on order status.
Resolve any order-related issues or discrepancies, working closely with internal teams and external partners to address technical or billing concerns.
Collaborate with other departments to continuously improve order entry processes and enhance the overall customer experience.
Ensure that all orders comply with company policies, procedures, and relevant regulations.
Analyze order data to identify trends, potential bottlenecks, or opportunities for improvement, and make recommendations to optimize the order management process.
Assist in the development and implementation of order management policies, procedures, and best practices, ensuring compliance with industry standards and regulations.
